1. What this policy covers
This policy explains how PickleMap handles personal information when you browse the directory, create an account, join a club, book a session, add a guest, register for an event, claim or manage a club, contact support or receive service communications.

2. Information we use
Depending on how you use PickleMap, this can include your name, email address, phone number, playing level, account identifiers, club memberships, booking and attendance records, guest details you provide, event entries, club-management information, support messages, payment status and transaction references. Card details are handled by the payment provider rather than stored as full card numbers by PickleMap.
We also process technical and security information needed to operate the service, such as authentication/session information, request and error logs and anti-abuse signals.
3. Why we use it
We use personal information to provide accounts and authentication; show and manage bookings, memberships, guests, waitlists and events; process and reconcile payments and refunds; send transactional messages; enable authorised club organisers to manage their club; prevent fraud and misuse; troubleshoot and secure the platform; respond to support requests; and meet legal obligations.
4. Legal bases
Under UK data-protection law, processing may be necessary to perform our contract with you, to take steps you request before entering a contract, to comply with legal obligations, or for legitimate interests such as securing and improving the service, administering club activity and preventing misuse. Where consent is the appropriate legal basis, you can withdraw it for future processing.
5. Who receives information
Relevant booking or membership information is shared with authorised organisers of the club you interact with so they can administer their activity. We also use service providers that support hosting, authentication, database infrastructure, payments and transactional email. They receive information only as needed for those services and subject to applicable safeguards.
If you add a guest, please only provide information you are entitled to share.
6. Payments
Payments are processed using Stripe. PickleMap receives payment identifiers, status, amounts and information needed to reconcile a booking or refund, but does not need to store your full payment-card number.
7. Retention and security
We keep information only for as long as reasonably necessary for the purposes described above, including account operation, booking records, dispute handling, fraud prevention and legal or accounting requirements. Different records therefore have different retention periods. We use access controls, server-side authorisation and other technical measures designed to protect information, although no online service can guarantee absolute security.
8. International processing
Some technology providers may process information outside the UK. Where required, appropriate transfer safeguards are used under UK data-protection law.
9. Your rights
Depending on the circumstances, UK data-protection law can give you rights to access your personal information and ask for correction, deletion, restriction, portability or objection to certain processing. You can also complain to the UK Information Commissioner's Office. Contact us first if you would like us to address a privacy concern.
